Backups
Administration → Backup takes a copy of the whole database on demand, keeps a list of them, and lets you download any one. Restoring puts the database back exactly as it was at that moment.
On a workspace run as a service, backups are also taken nightly by whoever runs the service and kept for a fortnight. Ask them for a copy at any time — the data is yours.
Updates
New versions are applied for you; there is nothing for a site to install and no version number anybody has to think about. A release can add a column to a form or a new report type, and the next time you open the screen it is there. Nothing already recorded is changed: when a revision drops a field, that field's values stay in the database and come back if it ever returns.
Getting your data out
- CSV from any register — opens in Excel.
- PDF of any single record, and of the period summary.
- The whole database, from the backup screen.
There is no lock-in mechanism, and no format you cannot read without us.
Where your backups are kept
Your backups are yours. On a hosted workspace each customer has their own folder on the server: the list on your Backup screen is only ever your own database, and there is no address anybody else can type to reach it.
A copy of your workspace is also taken every night for you, so the button on that screen is for the extra copy you want before doing something risky — importing a corrected pile register, restoring, clearing a bridge's plan.
